The cash session

Open a session with your float before you take money, close it at the end, and the system tells you what should be in the drawer.

The Billing and Cashier screen with a cash session open
Today's receipts, what should be in the till, and your open session.

A cash session is one person's turn at the till. It is what makes the money at the end of the day belong to somebody.

Opening

Choose Billing / Cashier → Open Session and enter your float — the cash you are starting with.

Cash needs a session; card and transfer do not. Without one open, the screen will not let you take cash at all — a cash receipt has to belong to somebody's till, and one issued outside a session could never be reconciled to anyone. Transfers and card payments are receipts that never touch your drawer, so they work whether or not a session is open.

In practice: open yours at the start of your turn and the question never arises.

The session is yours. Two cashiers on two machines have two sessions, and neither can close the other's.

While it is open

The screen shows:

  • Today's Receipts — the total issued today.
  • Cash in Till — your float plus cash taken, less refunds, since you opened.
  • Voids Today — voided receipts, which should be few and explainable.
  • Provisional Receipts — should be zero; every receipt gets a real number from the machine's block, even offline. See Where numbers come from.

Cash in Till is cash only. A transfer or a card payment is a receipt but it is not in the drawer, so it is not in this figure. That is the point of the figure.

Closing

Close Session at the end of your turn. Count the drawer and enter what is actually there. The system already knows what should be there, and shows you:

  • expected, from your float and the transactions;
  • counted, from you;
  • the difference.

A difference is not an accusation. Note it and say what you think happened. A hospital where every session balances to the naira every day is a hospital where somebody is making the numbers agree, which is worse than an honest ₦200 short.

Closing does not need a connection. The count is recorded on the machine and sent on with everything else.

If you forget to close

The session stays open. Your supervisor can close it on your behalf, and the record shows that they did and that it was not you. Better to close your own.
