Privacy policy

How we handle personal data.

Who we are

Fikacare is a hospital information system built by Fikazon. This policy covers two things: the personal data this website collects, and how the Fikacare system treats the data a hospital keeps in it. Questions about this policy go to hello@fikacare.com.

What this website collects

When you request a demo or contact us, we keep the details you give us (your name, hospital, email address, phone number and message) so that we can reply. We keep them in our own customer records for as long as we are in conversation with your hospital, and delete them if you ask. The forms are protected against automated submissions by Cloudflare Turnstile, which may set a cookie for that purpose. We do not use advertising trackers on this website.

Data inside the Fikacare system

The hospital that uses Fikacare is the data controller for its patients' and staff's records. Fikazon is the data processor: we host the cloud copy, deliver updates and provide support, and we act only on the hospital's instructions under a data processing agreement signed at onboarding.

In practice this means:

  • Records are encrypted on every machine in the hospital and in transit to the cloud.
  • Access inside the hospital is by role, and every access to a patient's record is logged.
  • Our support staff can see a hospital's data only during a remote session the hospital has consented to, and that session is logged.
  • Anonymous submissions by staff (suggestions and complaints) cannot be traced to a person by any query, role or support path.
  • The hospital can export all of its data at any time, and for 90 days after a subscription ends. After that the data is deleted and a deletion certificate is issued.

Patients' rights

A patient who wants to see, correct or receive a copy of their record should ask the hospital, which holds the record and can answer from within the system. Because clinical records are append-only, a correction is recorded as a new entry alongside the original rather than by altering history.

Where data is stored

The primary copy of a hospital's records lives on the hospital's own machines. The cloud copy is stored with our hosting providers; the regions in use will be listed here before the site goes live.

Changes to this policy

When this policy changes we will update the date at the top and, for material changes, tell every hospital by email before the change takes effect.
